Volunteer Descriptions
The kids can't have a production without our AMAZING parent volunteers! Check out the descriptions below to help determine which role is right for you.
Rehearsal Volunteers
Rehearsal Chaperone Lead - Manage and oversee all Rehearsal Chaperones; ensure adequate volunteer coverage for each rehearsal.
Rehearsal Chaperone - Take attendance, and stay throughout rehearsal; distribute snacks; supervise student behavior. These volunteers, for each shift, will need to arrive 20 minutes prior to the end of the school day in order to set up and will also need to stay until the last child is picked up; may sign up for more than one rehearsal.
Props/Crew, Costumes, Hair & Makeup
Props Lead (2)* - Work with crew members (students & parent volunteers) to create and/or acquire props; and orchestrate stage crew (students) during performances.
Props Helpers - Assist the props team with creating props pieces and supervising students during rehearsal times.
Stage Crew Lead (2) - Manage and orchestrate Stage Crew (students) during performances; guide students in their duties as stagehands.
Stage Crew Assistants - Help the Crew Leads in the wings during performances to assist Crew students moving set pieces and props; often a consistent member(s) of the Props/Crew Helpers who is very familiar with the pieces and the show. This role is limited in number due to space constraints in the wings.
Costume Lead* - Create and/or acquire costumes and supervise costume committee volunteers (parents) and costume team members (students); work with performers during the performances to effectively display costumes.
Costume Committee - Help with the costume assembly, shop, craft, and organize, and help supervise students on the costume team. Volunteers will need to steam and iron costumes and the Sharon Lynne Wilson Center (SLWC), do hand-sewing, and make last-minute adjustments and repairs; assist in collection & cleaning of costumes after the final performance.
Hair & Makeup Lead - Work with the Director and volunteers to coordinate performers’ hair styles and makeup; prepare communication to parents articulating hair and makeup requirements.
Hair & Makeup Helpers - Assist Hair & Makeup Lead with gathering supplies and assist on performance dates; will need to attend at least one Tech Week rehearsal at SLWC.
Backstage with Performers
Backstage Chaperone Lead - Coordinate volunteers backstage who will be working with performers during performances. This volunteer must attend at least 2 rehearsals during Soft Tech Week at school to develop an understanding of how the show runs and what assistance is needed; must develop a system/structure for the Backstage Chaperone volunteers and communicate that to them.
Backstage Chaperones - Chaperone performers backstage during the performance in the dressing rooms and hallways; assist performers with costume changes, entrances and exits, and provide general supervision. Must attend 2 Tech Week rehearsals at Sharon Lynne Wilson Center (SLWC).
Lobby Sales, Bio Boards & Cast Party
Lobby Sales Lead - Plan and purchase treats/water/flowers to be sold in concessions before and after performances; set up and decorate the lobby and concessions area on Thursday night; schedule and coordinate lobby sales volunteers; responsible for securing cash boxes between performances.
Lobby Sales Team - Help set up and sell concessions before and after performances; assist Lead with clean-up after performance. You will be able to view the performance that you work before and after.
Biography Boards Lead - Create Biography Boards featuring headshots of each member of the cast and crew. Craft/creative work can be done at home in advance. Set-up & execution should be done during Tech Week and completed by the end of rehearsal on Thursday.
Biography Boards Assistant - Assist Biography Boards Lead with the creation and display of boards in SLWC lobby. Craft/creative work can be done at home in advance. Set-up & execution should be done during Tech Week and completed by the end of rehearsal on Thursday
Cast Party Lead - Plan the food and entertainment for the cast party; oversee the committee organizing the cast party, hire DJ, purchase and ensure delivery of food; commit to chaperoning the party; lead set-up and clean-up of cast party.
Cast Party Committee - Assist the Cast Party Lead with planning the food and entertainment; chaperone the cast party; assist with party set-up and clean-up.
Set Piece Construction, Moving & Tear Down
Set Designer - draw designs/blueprints for set pieces as needed/directed by the director and the production committee; designs will be used by Builder Leads and Teams to guide set construction. A background in design, architecture, drafting, or construction is helpful.
Large Set Piece Builder Lead - Construct sets for the production with input from the director and production committee. Must be available Monday night of Tech Week to supervise transportation to & installation at Sharon Lynne Wilson Center (SLWC).
Large Set Piece Team - Assist Team Leader in constructing sets, painting, and moving sets to the Sharon Lynne Wilson Center (SLWC). Must be available the Sunday afternoon of Tech Week to supervise transportation to & installation at SLWC.
Small Set Piece Construction Lead* - Plan and construct smaller set pieces or larger props pieces for the production with input from the director and production committee.
Small Set Piece Construction Committee - Assist Team Leader in constructing smaller set pieces or larger props, painting, and moving those to the Sharon Lynne Wilson Center; may need own tools and workspace for independent work.
Lead Set Decorator* - Coordinate team of volunteers to paint, embellish, & decorate large and small set pieces; purchase supplies, organize volunteers, coordinate with Large and Small Set Pieces Leads and Props/Crew Leads to ensure set pieces are decorated to Director’s vision. Painting to be completed prior to move-in to SLWC. Decorating & touch-ups to be completed during move-in on Tuesday morning.
Set Decorating Team* - Assist with painting and decorating large and small set pieces and props. Painting to be completed prior to move-in to SLWC. Decorating & touch-ups to be completed during move-in on Tuesday morning.
Truck Loan - Have access to trucks or trailers to use for load-up, load-in, and/or strike for sets, props, and costumes to be moved from school or off-site location to Sharon Lynne Wilson Center (SLWC) or removed from SLWC after production; trucks, trailers, and enclosed trailers are all helpful.
Load-Up Team - Load cars and trucks Friday (2/23/2024) after school with smaller set pieces, costumes, and props to take from school to Sharon Lynne Wilson Center.
Load-In Team - Assist with moving smaller set pieces, props and costumes from BrookEL to SLWC and setting up SLWC for our residency; duties include unloading, set up backdrops, scenery, set-up dressing rooms.
Strike (Tear Down) Team - Help strike (take down) the set, backdrops, scenery, props, load cars, help with costume collection and sorting, help clean dressing rooms, etc.
*Must be available during the day on Sunday of Tech Week for move-in to SLWC
Administrative Volunteer Roles
BE Players Coordinator* - Oversee and manage the BE Players program, including the Bug In A Rug presentation, the Creative Dramatics class, and the musical production. For the musical production, this individual will coordinate and oversee all aspects of the production including organizing and preparing all registration materials as well as all audition materials, and overseeing all aspects of the audition process, rehearsals, performances, and strike.
BE Players Treasurer - Create BE Players budget with the BE Players Coordinator; manage the checking account; reimburse volunteers; pay invoices; manage spending based upon created budget.
Publicity/Communications Lead - Help BE Players Coordinator with all aspects of communications for the production, as well as all promotions and marketing efforts, including managing yard sign sales, t-shirt production and distribution, program production, and coordinate with all photographers and videographers.
School Performance Liaison - Work with Brookfield Elementary, the Sharon Lynne Wilson Center (SLWC) and BE Players Coordinator to set and coordinate the schedule, bussing for students, teacher chaperones, etc. in order to facilitate the all-school field trip to view the production. Must be available during the all-school field trip during the school day.
Volunteer Coordinator - Manage and oversee all volunteer organization needs for the production including working with all Team Leaders to assess volunteer needs for each team and to ensure those needs are met; create volunteer sign-up for all volunteer jobs; assist Team Leaders in order to coordinate volunteer commitments for rehearsals.
